Why Add a Watermark to a PDF?

Watermarks communicate the status and usage rights of a document at a glance. Common use cases:

  • DRAFT — mark documents that haven't been approved for distribution
  • CONFIDENTIAL — signal to recipients that sharing is restricted
  • SAMPLE — showcase document templates without enabling unauthorised use
  • COPY — distinguish distributed copies from originals
  • Company logo — brand every page of client-facing reports and proposals
  • Recipient name — personalise copies to trace leaks (e.g., "Prepared for: Acme Corp")

Text Watermarks vs Image Watermarks

Both types serve different purposes:

  • Text watermarks — ideal for status labels (DRAFT, CONFIDENTIAL) and personalised copies. Text is rendered at the PDF level, so it stays sharp at any zoom.
  • Image watermarks — ideal for logos and brand marks. Use a transparent PNG for the best result — JPEG images have a white background that obscures the document behind them.

Choosing the Right Opacity

Opacity controls how visible the watermark is relative to the document content:

  • 10–20% — very subtle, barely visible on a casual read. Good for logo branding.
  • 20–40% — the standard range for DRAFT and CONFIDENTIAL marks. Clearly visible but doesn't obscure the text.
  • 60–80% — bold, difficult to overlook. Used for SAMPLE marks on commercial documents.
  • 100% — fully opaque. The watermark completely covers the content it's placed on.

Diagonal vs Horizontal Placement

Diagonal (45°) watermarks are standard for status labels — they span the full page and are harder to crop out. Horizontal watermarks work better for headers, footers, and logo placements where you want the mark in a specific region rather than spanning the entire page.

Can Watermarks Be Removed?

A PDF watermark added as an embedded layer is difficult to remove cleanly — especially diagonal text at moderate opacity that overlaps the document body. However, a determined editor with Adobe Acrobat can attempt to remove it using layer tools. For documents requiring legal protection, combine watermarking with password protection using our Protect PDF tool to restrict editing.
